I work with new travel companies every week at Travel Steps Asia. After a while, you start to notice patterns. Different owners, different towns, different packages, but the same worries, and sometimes the same mistake.
I want to tell you about one owner in particular, because his story explains it better than any checklist could.
A Phone Call That Started Well
He ran a small travel company in Kochi, just a few months old. When he first reached out, he sounded excited. His Kerala packages were ready, he had a driver he trusted, and he had finally started getting enquiries.
"This is great," he told me. "Now I just need more of them."
I asked how he was handling the ones he already had. He said, a little proudly, "I send everyone the same package details right away. It saves time."
I didn't say anything at that moment. But I knew we were looking at the mistake.
The Mistake: Treating Every Enquiry the Same
A few weeks later, he called me again. This time he sounded tired.
"I'm getting enquiries," he said, "but nobody is replying after I send the details. Maybe these aren't good leads."
That was the moment I had been waiting for, because it is the question almost every new owner asks, and often the answer is not about the leads.
I asked him to read me a few of the enquiries he had received. One was from a couple wanting a quiet Alleppey stay for their anniversary. Another was a family of six asking about Munnar with two elderly parents. A third was a group of college friends looking for something adventurous and cheap.
"And what did you send them?" I asked.
There was a pause. "The same family package PDF."
What Each Traveller Was Really Asking
I tried to explain it the way I would to a friend.
- The couple wasn't asking for a package. They were asking for a peaceful, private experience.
- The family wasn't asking for a price. They were asking whether their parents would be comfortable.
- The friends weren't asking for a hotel. They were asking for something exciting within their budget.
The enquiries were not weak. They were specific. The reply was what was generic.
When a traveller reaches out, they are telling you a small story about what they want. If your answer ignores that story, they feel unheard, and they quietly move on to someone who listens.
The Fix Was Simpler Than He Expected
He didn't need a new package or a bigger budget. I suggested three small changes:
- Call before you send. A two-minute conversation tells you more than the enquiry form ever will.
- Ask a few simple questions. Who is travelling? What kind of trip do they imagine? What budget feels comfortable?
- Recommend one thing that fits. One thoughtful suggestion works better than five options sent to everyone.
"That's more work," he said.
"It is," I said. "But you were already doing the work of getting the enquiry. This is just making sure it doesn't go to waste."
What Happened Next
I won't pretend it changed overnight, and I never promise that. Not every enquiry becomes a booking, and that is normal in this business.
But a few weeks later he called me again, and the tone was different. He told me about the family with the elderly parents. He had called them, asked about ground-floor rooms and slower travel days, and suggested a plan built around that. They hadn't booked yet, but they had stayed in touch and asked thoughtful questions.
"For the first time," he said, "it felt like a conversation instead of a sales message."
Why This Matters for the Right Leads
This is why I care about more than the number of enquiries. A relevant lead gives a travel company the chance to start a good conversation. What happens in that conversation is up to the company.
Good leads and good follow-up work together. One without the other leaves you with either a quiet phone or a wasted opportunity.
If You're Starting a Travel Company in Kerala
If you have just launched, here is what I would tell you, as I told him:
- Don't judge your enquiries by how many replied to a PDF.
- Talk to people before you pitch to them.
- Treat every traveller as a person with a plan, not a name on a list.
- Be patient. Trust takes time, and it is built one conversation at a time.
At Travel Steps Asia, we help new and growing travel companies connect with people who are interested in travel services, so they have more chances to start those conversations.
If you're a travel company in Kochi or anywhere in Kerala looking for relevant travel enquiries, we'd be happy to talk.
